Client Support Executive

At Rekindle Therapy, our Client Support Team is the main point of contact for current and prospective clients. This position is open to a graduate in any discipline with one (1) year of postgraduate work experience, though fresh graduates with a Psychology degree are welcome to apply. You will work alongside a vibrant team to provide excellent administrative support for our clinicians by servicing our clients. Our client support team members are friendly, warm, detailed, accurate, disciplined, and able to work collaboratively. By joining the team, the successful candidate will learn client servicing (for therapy clients), psychological tools and concepts, mental health and relationship therapy processes, office administrative tasks, business application software, systems thinking, personal development, and teamwork skills. This position is ideal for candidates looking for medium to long term career advancement towards a supervisory or managerial position within a clinical and training setting. (Note: New graduates with little to no work experience may apply, and if accepted, can begin with an interim "postgrad internship work experience" and progress to full employment upon satisfactory performance.)

Duties & responsibilities

  • Daily administrative tasks related to therapist-support and client-servicing.
  • Professional direct client servicing through telephone, email, texts, or in-person.
  • Coordinate and set up appointments between clients and therapists with accuracy.
  • Obtain and evaluate all relevant information to handle client enquiries, and to respond promptly.
  • Keep records of client appointments and transactions in an accurate manner.
  • Maintain client databases.
  • Provide feedback on the efficiency and effectiveness of the client coordination and administrative processes.
  • Generate reports and handle ad hoc projects when necessary.

Skills & qualifications

  • Possess a degree in any discipline.
  • Minimum one (1) year of work experience.
  • Customer service oriented with good listening skills.
  • Good interpersonal skills and good communication skills (verbal and written).
  • Aptitude towards being detailed and accurate.
  • Good problem solving and analytical skills.
  • Adaptable to changes, able to take initiative, and able to handle stress well.
  • Proficiency in Microsoft Office, Google Workspace, and other applications.
  • Knowledge of social media platforms such as Facebook and Instagram.
  • Willingness to help with mundane tasks (e.g. cleaning) for office upkeep.
  • Multi-lingual an asset (English, Bahasa Malaysia, and Mandarin).
